Terms & Conditions

TRAVEL AGENCY TERMS & CONDITIONS

Please read the following terms and conditions carefully. You must not confirm or accept any booking unless you understand and agree with these terms.

These terms apply to all travel services arranged by The Travel Management Company (“the Agency”), including flights, accommodation, car hire, transfers, tours, visas, and related travel products.

1. PRICES AND FARE CONDITIONS

All prices quoted are strictly subject to availability at the time of booking and may be withdrawn or amended without prior notice until full payment has been received and the booking has been confirmed and issued.

Prices are only guaranteed once:

  • Payment has been received in full, and
  • Tickets/vouchers have been issued or confirmed by the supplier.

Quoted prices may change due to factors outside the Agency’s control, including but not limited to:

  • Currency exchange fluctuations
  • Fuel surcharges
  • Government taxes and airport levies
  • Airline fare increases or inventory changes
  • Supplier pricing updates
  • Changes in regulations or supplier rules

The Agency acts solely as an intermediary and cannot be held responsible for price changes imposed by airlines or suppliers after a quotation has been provided.

Any increase in cost must be paid by the client prior to final confirmation.

2. PAYMENTS AND BOOKING CONFIRMATION

All bookings are subject to full payment by the due date specified by your travel consultant.

The Agency reserves the right to:

  • Cancel bookings not paid on time
  • Re-quote fares if supplier pricing changes
  • Refuse ticket issuance until payment clears

Late payment may result in automatic cancellation by the airline or supplier, for which the Agency accepts no liability.

3. SERVICE FEES AND ADMINISTRATION CHARGES

The Agency charges service and transaction fees for professional travel management services, including booking, ticketing, amendments, and refunds.

Service fees are:

  • Non-refundable
  • Charged per transaction
  • Payable regardless of supplier refund outcomes

4. CANCELLATIONS AND AMENDMENTS

All travel services are subject to the cancellation and amendment policies of the relevant supplier.

Airlines and suppliers may impose:

  • Cancellation penalties
  • Change fees
  • Fare differences
  • Non-refundable restrictions

5. LIMITATION OF LIABILITY

The Agency acts only as an agent arranging travel services with third-party suppliers.

The Agency is not liable for:

  • Acts, errors, or omissions of suppliers
  • Personal injury, loss, damage, accident, or delay
  • Supplier insolvency or bankruptcy
  • Force majeure events beyond reasonable control

All services are provided subject to supplier terms and conditions.

6. FORCE MAJEURE

The Agency shall not be liable for failure to perform obligations due to events beyond its control, including but not limited to:

  • Natural disasters
  • Pandemics or health emergencies
  • War, civil unrest, or terrorism
  • Government restrictions
  • Airline shutdowns
  • Strikes or industrial action

In such cases, supplier rules will apply.

 

7. CLIENT RESPONSIBILITY AND ACCEPTANCE

By confirming a booking, the client acknowledges that:

  • They have read and accepted these terms
  • Travel arrangements are subject to supplier conditions
  • The Agency provides intermediary services only
  • Charges and penalties may apply for changes or cancellations
